For Integrium Clinical Research

When your coordinators are on another line, the next caller still gets answered.

Today that caller waits on hold or reaches voicemail, and a potential participant who can't get through may not call back. Anyone who looks you up first finds an error page: integrium.com has been suspended, and its security certificate expired in December 2024.

What we'd do
  1. Answer calls that arrive while your line is busy or after hours, on the number you already have.
  2. Take each caller's name, callback number and reason for calling, and answer logistics questions from text you approve.
  3. Book screening and study visits into your existing calendar.
  4. Hand anything clinical (symptoms, adverse events, eligibility) straight to the coordinator you name.
  5. Put integrium.com back up with your new address.

Plus 2 more, below: a text back to anyone who hangs up before an answer, and a weekly and monthly report.

Calls that arrive while the line is busy or closed go to voicemail.

Your team told us that when a coordinator is on one call, the next caller waits on hold or reaches voicemail. After hours, every call reaches voicemail. Booking a visit or asking a simple question can turn into an afternoon of phone tag.

A potential participant who can't get through may not try again, and a referring physician's office may not wait. We can't see how many calls this is today. The free week counts them.

Should beEvery call is answered, and anything the desk can't handle reaches a person you name.

Business listings still show the Tustin address.

Craft and Datanyze both list 14351 Myford Rd Ste B, Tustin. We didn't check every directory. Your new address goes on the website and into the desk's answers on day one.

Updating third-party listings isn't in this scope. We can list the ones that need it.

Should beCallers hear the right address, and the site shows it.

01Flow

A busy or after-hours call is answered, sorted, then booked or handed to a person.

  1. A call comes in

On your main line. Same number. Your team still takes every call they can.

  2. The line is busy, or it's after hours

That call forwards to the desk instead of voicemail.

  3. The desk answers

It says it's Integrium's automated line and asks how it can help.

  4. It sorts the call

Logistics, scheduling, a message, or something a person needs to take.

  5. It books, answers or hands off

    See the two outcomes below.

  6. It logs the call

Who called, what it was about, what happened, and any callback owed.

Handled by the desk

Visit booked, or question answered

Visits go into your calendar. Questions are answered only from text you've approved.

Handed to a person

Transferred to the person you name

Clinical questions, adverse events, eligibility, or an upset caller. If nobody picks up, it's flagged urgent and sent to your on-call contact.

If a caller hangs up before anyone answers, they get a text with a way to book or ask for a callback.

02Inclusion

  1. I1Hours, the new address, directions and parking.
  2. I2What a screening or study visit involves, using only text you approve.Any description of a study uses your IRB-approved recruitment language, word for word.
  3. I3Booking, rescheduling and cancelling visits in your existing calendar.
  4. I4Callback requests: name, number, best time and reason for calling.
  5. I5Calls from sponsors, CROs and vendors: a message routed to the right person.
  6. I6Interest in a current study: contact details taken for a coordinator to follow up.

03Exclusion

It never handles clinical questions, eligibility, adverse events or consent.

  1. E1Medical advice, or any answer about symptoms or medications.
  2. E2Eligibility decisions and pre-screening questions.If your IRB approves a pre-screen script later, that's a separate scope.
  3. E3Adverse events or side effects: transferred to the person you name right away.If nobody answers, the call is flagged urgent and sent to your on-call contact.
  4. E4Informed consent discussions.
  5. E5Questions about a participant's records, results or study payments.
  6. E6An upset caller, at any point. A person takes it.

A call that meets none of the inclusion criteria goes to a person or becomes a callback. The desk doesn't guess.

04Data

Call data is handled as PHI from the first call.

The desk collects a name, a callback number, the reason for calling, and the visit time if one is booked. It asks no clinical questions. Callers sometimes say which study they're calling about, so we treat the call log as protected health information anyway.

  • A business associate agreement between Integrium and Monolith3, and one with the voice platform we run on, signed before the first live call.
  • Identifiers are redacted from the voice platform's stored transcripts. Your call log keeps only what your team needs to call back.
  • Encrypted in transit and at rest.
  • Recordings are off, or deleted on the schedule your compliance lead sets.
  • Before go-live, your compliance lead reviews storage, access and retention with us.

05Measures

You see every call, every week.

  • Weekly text. Calls answered, visits booked, calls handed to staff.
  • Monthly report. The same three, plus minutes used out of 300 and callers texted back.
  • Call log. Every call, what it was about, what happened, and any callback owed.

The free week is your baseline. It shows how many calls arrive while the line is busy or closed, before you pay a monthly fee.

MMethod

How we checked, and what we couldn't see.

  • On October 13, 2026 we requested integrium.com and www.integrium.com. Both return HTTP 410 (Gone) with the message "This site has been archived or suspended."
  • The certificate the site serves is issued to another domain (*.bypronto.com) and was valid from November 6, 2023 to December 6, 2024.
  • Address: the Craft and Datanyze company listings.
  • What we couldn't see: your call volume, how many calls reach voicemail today, your calendar system, and your new address.
